Privacy Policy

For your own account — the people in your business who sign up and use the Perfox Studio — Perfox decides how that data is used, and this policy applies directly.

For the conversations your AI agents have with YOUR customers (end-users), you decide what your agents collect and why. For that data Perfox acts on your instructions as a processor (a "Data Processor" under the DPDP Act), and you are responsible for having a lawful basis and giving your customers the notices they need. We process it only to run the service for you.

• Account data: your name, work email, company name, workspace address, and your role and login activity.
• Billing data: billing name, address and GSTIN (if provided), purchase history and invoices. Card and UPI details are handled by our payment processor, Razorpay; we never see or store your full card number.
• Service content: the agents, prompts, knowledge-base files, connections and settings you create, and the conversations, messages, call recordings, files and contact details your agents handle on your behalf.
• Usage and technical data: how the service is used (for billing and reliability), device and browser information, IP address, and logs.
• Website data: see "Cookies & analytics" below.

• To provide the service: run your agents, deliver messages and calls on your channels, index your knowledge base, and show you your conversations and analytics.
• To bill you: meter usage in credits, process payments and issue GST invoices.
• To keep the service secure and reliable: detect abuse, investigate incidents and fix errors.
• To communicate with you: sign-in links, service and billing notices, and support replies. We send marketing email only if you have agreed to it, and every such email lets you opt out.
• To meet legal obligations, such as tax, accounting and lawful requests from authorities.

We do not sell personal data, and we do not use your content or your customers' conversations to train AI models.

We share personal data only with service providers who help us run Perfox, under contracts that require them to protect it and use it only for that purpose:

• DigitalOcean — cloud hosting, databases and file storage (Bengaluru, India)
• Google (Gemini and Google Cloud Speech) — AI language, speech and embedding models
• Sarvam AI — Indian-language speech and AI models (India)
• Amazon Web Services — email delivery and inbound email (Mumbai, India)
• Cloudflare — website delivery, DNS and security
• Razorpay — payments (India)

Channel providers you connect yourself — for example Plivo, Meta (WhatsApp), your email provider, Google or Microsoft — receive data under your own agreement with them. We may also disclose data where the law requires it, or to a successor if Perfox's business is transferred, subject to this policy.

Perfox's production systems, databases, knowledge-base search index and file storage all run in India (Bengaluru). To answer a request, an AI model provider — Google in particular — may process that request's text or audio outside India. We will update the list above before adding a new sub-processor.

Conversation history, recordings and message attachments are kept for 365 days by default; you can change this in Settings, and they are deleted automatically when the period ends. Account data is kept while your account is open. When you close your account we delete your content and personal data, except invoices and billing records, which Indian tax and company law require us to keep for up to 8 years.

Data is encrypted in transit and at rest. Each workspace has its own isolated database, stored credentials for your connected providers are encrypted, and access within Perfox is limited to people who need it to run and support the service. No system is perfectly secure; if a personal data breach affects you, we will notify you and the Data Protection Board of India as the DPDP Act requires.

With your consent we use Google Analytics 4 and Microsoft Clarity to understand how the site is used, and Google Ads and the Meta (Facebook/Instagram) Pixel to measure our advertising. These are only loaded after you accept the cookie banner; if you decline or ignore it, Clarity and the Meta Pixel are never loaded at all and Google's tags run in a restricted, cookie-less mode. Independently of that choice we store one first-party cookie, pf_attr, recording which campaign or referring site brought you here (for example utm_source=instagram) so we can tell which of our own campaigns work. It contains no personal data, is never shared with an advertiser, and expires after 90 days. You can change your choice at any time by clearing cookies for this site.

The Perfox Studio uses cookies that are strictly necessary to keep you signed in.

You can ask us to access, correct, update or erase your personal data, withdraw a consent you have given, or nominate someone to exercise your rights if you die or become incapacitated. Email privacy@perfox.ai from the address on your account; we will respond within 30 days. If you are a customer of a business that uses Perfox, please contact that business first — it controls your data — and we will help it respond.

Perfox is a business service and is not meant for anyone under 18. We do not knowingly collect personal data from children.

We acknowledge complaints within 48 hours and aim to resolve them within 30 days. If you are not satisfied, you may complain to the Data Protection Board of India.

We will post any change here and update the date above. If a change materially affects how we use your data, we will tell you by email or in the Studio before it takes effect.
